Job Title: Audit Officer - Initial and Large Sites Accommodations
Department: Assurance/Compliance
Reporting to: Senior Auditor - Initial and Large Sites Accommodation
Location: East of England
Contract Type: Permanent
Hours of Work: 40 hours per week (Monday - Friday, 8:30 AM - 5:00 PM)
Salary: £26,215 - £40,660 per annum



About the Role
We are seeking a meticulous and proactive Audit Officer to join our Assurance/Compliance team. This pivotal role involves auditing the work of our accommodation and services inspectors (Inspection Officers), ensuring their adherence to required standards, contractual and statutory provisions, and internal guidelines. You will apply robust audit methodologies to evaluate the thoroughness and compliance of assurance work, identifying potential risks and recommending effective mitigation strategies to senior management.
This position requires extensive daily travel, therefore, the successful candidate must hold a full UK Driving License and have access to their own vehicle.



Key Responsibilities
Audit & Compliance Procedures

  • Conduct regular, comprehensive audits of accommodations and services inspected by Inspection Officers (at least monthly), ensuring a sufficient volume and variety of accommodation types are visited as assigned by the Senior Auditor.
  • Prepare and present detailed audit reports to the Senior Auditor and Senior Inspectors, including actionable recommendations for improvement in accordance with internal policies.
  • Perform direct inspections of assigned accommodations and services, raising non-conformances in line with company guidelines.
  • Assess the effectiveness of Inspection Officers in verifying that accommodation managers and onsite staff clearly understand service requirements and standards for service users.
  • Facilitate on-site audit processes by meeting with accommodation staff and relevant inspectors at the beginning of each audit day to clarify objectives.
  • Review compliance documents, track actions taken to meet recommendations, and analyze previous inspection reports to identify any gaps.
  • Audit all services and service areas, inspecting a minimum of 5% of rooms within each accommodation to identify best practices or areas for development in the inspection process.
  • Collaborate with the business to track and resolve audit issues, ensuring timely remediation.
  • Develop detailed audit reports with recommendations for improving company guidelines and processes.
  • Facilitate and attend inspections or audits by UKVI and other statutory bodies as directed by senior management.
  • Conduct pre-audits of proposed accommodations for suitability and compliance (e.g., reviewing Standard Operating Procedures, Fire Risk Assessments, Gas, Electric, Legionella certificates) before they go live.
  • Ensure new and existing accommodations are set up for optimal utilization in accordance with contractual provisions and UKVI guidelines.
  • Authorize proposed accommodations as compliant and ready for operation following successful pre-audit checks.


Service User Support Assurance

  • Evaluate previous inspection reports and activities to assess the effectiveness of inspector actions in:
    • Ensuring adequate, up-to-date documentation/booklets are proactively maintained in line with contract requirements.
    • Verifying onsite personnel and processes support service users in registering with doctors and schools for statutory school-aged children.
    • Assessing staff knowledge and processes for signposting service users to local shops, support agencies, etc.
    • Confirming all outstanding incident reports are raised and addressed.
    • Ensuring non-conformances and defects are appropriately raised and resolved within contractual timescales.
    • Verifying onsite staff adhere to contract provisions for service user move-on processes by the UKVI letter's specified date.
    • Confirming staff awareness and implementation of health and safety protocols for service users.
    • Ensuring appropriate property-related certification and documentation is accurately produced and recorded.
  • Conduct a specified number of monthly welfare checks, applying audit guidelines to assure process integrity.
  • Partner with the Safeguarding Team to resolve or signpost any safeguarding issues/concerns identified during audits.
  • Collaborate with accommodation staff, inspection teams, and subcontractors to ensure UKVI inspection and Fire Risk Assessment (FRA) recommendations are followed through to completion.

Collaboration & Communication

  • Work closely with your line manager and team members.
  • Actively participate in meetings as required.
  • Support team members and provide on-the-job training.
  • Provide cover for other staff as agreed by your line manager.
  • Maintain up-to-date awareness of all written and verbal communications.
  • Ensure all records are accurately maintained according to company policies and procedures.
