Events Operations Manager - independent venue - Leeds
Reporting to the Head of Events, the Events Operations Manager is responsible for the planning, coordination, and seamless delivery of events. They act as the lead contact for clients from enquiry through to post-event follow-up and are the primary planner for weddings. The role requires strong leadership on event days, clear documentation, and excellent collaboration across teams. The Events Operations Manager works closely with the Head of Events on all aspects of sales, planning, and diary management, and liaises with the Head Chef and Operations Manager to ensure all departments are fully aligned. This is a hands on and operations role. Event Planning & Coordination ? Act as the lead contact for clients from initial enquiry through to event completion ? Serve as the in-house wedding planner, managing all planning, communication, and delivery for wedding clients ? Work closely with the Head of Events to plan, coordinate, and deliver a wide range of events across the venue ? Manage all event planning processes including site visits, menu selection, layout planning, and scheduling ? Host and coordinate food tastings with couples in collaboration with the Head Chef ? Produce detailed event documentation: event sheets, staff briefs, floorplans, run orders, and risk assessments ? Liaise with the Head Chef to finalise menus and create accurate food order sheets ? Liaise with the Operations Manager to create drinks order sheets tailored to each event ? Send final food and beverage pre-order breakdowns to the Finance Manager ahead of each event ? Ensure all chargeable elements are clearly recorded so invoices can be raised accurately and promptly ? Push revenue sales and upsell when taking food and drinks pre-orders, ensuring that clients are aware of and have access to premium options ? Contact all relevant suppliers in advance to confirm arrival times, equipment needs, and setup requirements ? Coordinate with third-party suppliers and contractors to ensure smooth integration of external elements (AV, entertainment, décor) ? Work to clearly defined planning deadlines and internal time frames Event Delivery ? Lead the on-the-day delivery of events as the senior manager on site ? Manage setup, staff briefings, supplier arrival and coordination, and guest management ? Monitor service delivery across all departments to ensure high standards throughout ? Take responsibility for resolving any client or guest issues quickly and professionally ? Ensure event timings are adhered to and oversee the overall flow of the day ? Manage guest safety, evacuation protocols (if necessary), and adherence to venue policies ?
