Team Administrator / PA – Facilities  – Temp (4 Weeks) – £18.00/hr – Office Based City of London A leading insurance company is seeking a highly organised and proactive Team Administrator to provide essential support to their Facilities team at their City of London offices. This is a temporary role to start ASAP (subject to checks) for an initial 4-week period, paying £18.00 per hour PAYE. The position is office based working 5 days at their offices in the City of London.. Role Overview: You’ll be at the heart of the Facilities function, supporting the Head of Facilities and their team. Your role will focus on keeping the team running smoothly — from managing logistics and meetings to coordinating travel and documentation. Key Responsibilities: - Provide day-to-day administrative support across the Facilities team - Manage diaries, schedule meetings, and coordinate team calendars - Organise on-site and off-site meetings, including venues, travel, accommodation, and catering - Arrange domestic and international travel for team members (visas, flights, transfers) - Coordinate Facilities team meetings: manage attendance, book rooms, take minutes, and follow up on actions - Act as the first point of contact for internal team queries and troubleshooting - Assist with drafting correspondence, reports, and presentations (mainly PowerPoint) - Support the team with complex administrative tasks and document handling - Maintain effective communication across the Facilities function Ideal Candidate Profile: - Strong experience in a Team Administrator or PA role supporting operational teams - Background in Facilities or Corporate Services is desirable - Excellent organisational skills with the ability to manage multiple priorities - Confident communicator with strong written and verbal skills - Proficient in MS Office (Word, Excel, PowerPoint) - Collaborative and approachable, with a problem-solving mindset - Able to pass relevant security checks |
